What we collect when you contact us, enroll, or use the Advisor demo and exactly what we do with it.

Who we are

AdoptionOS Inc. ("AdoptionOS", "we", "us") is an enterprise adoption company based in Houston, Texas, United States. This policy explains how we handle personal information collected through this website and the services offered on it, including AdoptionOS Advisor™, AdoptionOS Academy, consulting engagements, and partner or career inquiries.

Information we collect

We only collect information you choose to give us, plus limited technical data:

  • Contact and professional details name, work email, organization, role, platform, and country when you request a demo, book a consulting conversation, submit a partner or Academy inquiry, or apply for a role.
  • Enrollment details the cohort or programme you reserve, seat and status information, and any notes you add.
  • Scheduling preferences preferred date, time window, and timezone.
  • Content you submit messages, context about your transformation, and questions you ask the Advisor demo.
  • Technical data IP address, browser and device type, and pages requested, used for security, abuse prevention, and aggregate traffic measurement.

We do not knowingly collect information from children, and we do not ask for special category data such as health or biometric information.

How we use information

  • Respond to your request and schedule the conversation you asked for.
  • Confirm Academy enrollments and issue credentials or receipts.
  • Deliver and support consulting, Academy, and product services.
  • Review job applications and partner proposals.
  • Operate, secure, and improve the website and Advisor experience.
  • Meet legal, tax, and record-keeping obligations.

We do not sell personal information, and we do not use your submissions to train public AI models. We do not add you to marketing lists without your consent.

Legal bases (EEA and UK)

Where GDPR applies, we rely on: performance of a contract (delivering services you requested), legitimate interests (responding to business inquiries, securing our systems), consent (optional communications, where offered), and legal obligation (records we must keep). You may withdraw consent at any time.

Service providers

We use a small number of vetted providers who process data only on our instructions: cloud hosting and database infrastructure, transactional email delivery, and the AI model provider that powers the Advisor demo. Advisor conversations are sent to that provider to generate a response and are not used to train their models.

Some providers operate outside your country. Where required, transfers rely on Standard Contractual Clauses or an equivalent safeguard.

Cookies and analytics

This site uses only the storage strictly necessary to make it work for example keeping you signed in to the administrative area and remembering interface state. We do not use advertising cookies or cross-site tracking pixels.

If we introduce optional analytics, we will ask for consent first and update this policy before it is enabled.

Retention

We keep inquiry and enrollment records for as long as needed to serve the relationship and satisfy legal obligations typically up to 24 months for unconverted inquiries, and longer for enrollment, certification, and financial records where retention is required. Job applications are kept for up to 12 months unless you ask us to delete them sooner.

Security

Data is stored in managed cloud infrastructure with encryption in transit, row-level access controls on our database, authenticated and role-restricted administrative access, and least-privilege access for staff. No system is perfectly secure, but we work to a standard appropriate for enterprise engagements and will notify affected individuals and regulators where a breach requires it.

Your rights

Depending on where you live, you may have the right to access, correct, delete, port, or restrict processing of your personal information, to object to processing based on legitimate interests, and to lodge a complaint with your data protection authority. California residents may also request disclosure of the categories of information collected and may not be discriminated against for exercising these rights.

Changes to this policy

We may update this policy as our services evolve. Material changes will be reflected in the "last updated" date above, and where the change is significant we will notify affected individuals directly.
